Track and Bill for Your Time

Written by TrulySmall

If you sell your time, TrulySmall Accounting makes it easy to bill for it. You can set up services to be billed by the hour, day, week, or month, and seamlessly carry that time through to your invoices, reports, and dashboards. There are no separate timesheets required, just enter the hours you are billing directly onto your invoice.

Setting Up Time-Based Services

To get started, you can configure your services to automatically bill by time.

Navigate to the Goods & Services page.

Click on "Add a good or service", or edit an existing one.

Next, fill in the required information such as the name, description and selling price.

Choose how the service is billed by changing the unit of measurement: per item, or by the hour, day, week, or month.

When you're finished, click on "Save".

Note: If you need to find these services later, you can filter your Goods & Services list to show only items that are billed by time.

How to Invoice for Your Time

When you are ready to invoice a client, time tracking is built right into the invoice editor.

  1. Create a new invoice and select your time-based service.

  2. The line item will automatically format for time.

  3. Enter your time in the Qty field. You can type decimals (like 1.5) or time format (like 1:30, which the system will automatically read as an hour and a half).

  4. For one-off line items that aren't saved in your Goods & Services, simply hover over the Qty or Rate fields to pick a time unit on the fly.

Your invoice totals will clearly show exactly how many hours you billed. When you generate the invoice PDF for your client, it will display an "Hours" column instead of a generic "Quantity" column, feature your rate per hour, and include a "Total" at the bottom.

Tracking Your Billed Time

TrulySmall provides several ways to review the time you have invoiced.

  • Billed Time Report: This report lets you see exactly how much time you've billed, grouped by client, project, or service. You can view your average hourly rate, compare it to your usual list rate, view data month by month, and download it as a PDF or CSV. (Available on Standard and Pro plans)

  • Service Page Metrics: Navigate to Good & Services and choose a specific service to see the total hours you have billed this year and your average rate for that service.

  • Project Page Metrics: If you use the Projects feature, your project pages include an Hours tile that shows the hours you've invoiced against the total hours in your original estimate, helping you stay on budget.
