How to Import CSV Bank Statements

Written by TrulySmall

If your bank does not connect via a live feed, or you have historical data saved in a spreadsheet, you can upload a CSV bank or credit card statement into TrulySmall Accounting. This works right alongside our existing support for QBO, QFX, and OFX files. However, it includes a few additional steps designed solely for .csv files.

Uploading Your CSV File

You can import files exported from your bank, or other sources like QuickBooks Online and Xero. To get started:

Navigate to the Inbox page.

Select "Upload receipts or statements" and drop your .csv file into the upload area, or click to upload the file.

The system will first read the file and automatically populate the relevant column headings, such as Date, Description, Deposit, Withdrawal, and Amount. It will also identify the file’s date format, which you MUST verify to ensure it accurately reflects the day, month, and year.

When you are done, click on "Next: choose account".

On the next screen, you will be able to select the account you want the transactions to be uploaded into. You can either create a new account, or choose an existing one.

Lastly, click on "Import" to upload all your transactions onto the Inbox page. A confirmation message will appear to confirm they have been uploaded.

Your transactions are now ready to be categorized and posted from the list. As a quick tip, you can use the filter option to only display the transactions for a single account.

Checking Your Columns

Before any data is imported, you can preview the first few rows to ensure everything looks correct. We automatically work out the columns for you: date, description, amount (or separate withdrawals and deposits), balance, merchant, and card number.

  • Color Coding: Withdrawals will appear in red and deposits in green.

  • Make Adjustments: If something looks off, you can change what a column means, pick the correct date format, or flip the signs with one click.

  • Credit Card Fixes: If a credit card file accidentally shows your charges as deposits, the system will spot it and offer to fix it for you.

Choosing the Right Account

TrulySmall Accounting ensures your transactions go to the right place without creating double entries.

  • Auto-Matching: We match the uploaded file to the account you imported it into last time, or by its card number.

  • New Accounts: If you have a new card, we will suggest an account name (like "Credit Card 6934") and work out the opening balance directly from the file.

  • Preventing Duplicates: Uploading an overlapping file won't create duplicates. If the running balance doesn't add up, we'll show you the exact row that's off before anything is imported.

Smart Import Features

Once your file is imported, you can take advantage of a few helpful features:

  • Remembered Layouts: We save each file layout for your business. The next statement you upload from the same bank will skip the column check and go straight to import.

  • Suggested Contacts: When your file has a merchant or payee column, we will automatically suggest it as the contact for each transaction.
